Forward receipts and invoices to your Inbox

Every organisation has its own inbox email address. Forward receipts and supplier invoices to it and they land in your Inbox, ready to match.

Your organisation has its own inbox email address. Anything you forward there with an attachment turns up in your Inbox, where Travada Books reads it and looks for the transaction it belongs to.

Find your inbox address

  1. Open the menu under your business name at the bottom of the sidebar and choose General.
  2. Select Inbox in the settings menu.
  3. Your address is under Inbox email address. Select the copy button beside it.

While your Inbox is empty, the same address is shown in the middle of the Inbox page. Click it to copy it.

Forward a receipt

Forward the email, or send a new one with the file attached, to your inbox address. That's all. You can also add the address as a contact, or set up a forwarding rule in your email so receipts from a supplier go there automatically.

If you set up automatic forwarding in Gmail, Google sends a confirmation email to the forwarding address first. Travada Books passes it on to your business email, so you can confirm it.

What gets picked up

Travada Books collects the attachments, not the email itself. It accepts:

  • PDFs
  • images, such as photos of paper receipts
  • Word documents, and plain text or CSV files

A few limits apply:

  • Up to 20 attachments from one email.
  • Each file can be up to 25 MB.
  • Small images are skipped, so email signature logos and tracking pixels don't clutter your Inbox.
  • Emails with no attachments are ignored.

Where it shows up

Each attachment becomes its own item in your Inbox, named after the email's subject line. The item appears on its own, without refreshing the page, and shows Analyzing while Travada Books reads it. When it's done, you'll see the amount, date, currency, tax, invoice number, type and sender.

Travada Books then looks for a matching transaction. See Match receipts to transactions for what happens next.

A copy of every file is also kept in your Vault, marked Inbox.

Upload instead

To add a file you already have, open Inbox and select Upload, or drag files onto the page. Uploads can be images or PDFs, up to 10 MB each.

Block a sender

If a sender keeps sending things you don't want, block them:

  • From an item: open it in your Inbox, select the ⋮ menu, and choose Block sender email or Block sender domain.
  • From settings: go to Settings, then Inbox. Under Blocked senders, choose Email or Domain as the Type, enter the Value, and select Add.

Email from a blocked address or domain never reaches your Inbox. To unblock, select the bin icon next to it under Blocked senders.

Good to know: Anyone who knows your inbox address can send to it, so only share it with people and services you trust. If something unwanted gets through, block the sender and delete the item.
