A statement of account shows a customer every invoice you issued them in a period, what they've paid and what's still owed. It's a quick way to settle "what do we owe you?" without sending each invoice again.
Generate a statement
- Select Customers and open the customer.
- Select Statement at the top of their page.
- Choose the period with From and To.
- Add Notes if you want. They appear at the bottom of the statement, for example "Please review and confirm your balance."
- Leave Attach PDF on to send a PDF copy with the email, or turn it off to send the link only.
- Select Generate Statement.
Send it
When the statement is ready you can:
- Select Send to followed by the customer's name to email it to them.
- Copy the link with the copy icon and share it however you like.
- Select View statement to open it in full.
The email goes to the customer's Bill To Email, or their Email if that's blank. Replies come to your business email.
From the full statement you can also Download PDF, Copy link or Send to client at any time. If an email can't be delivered, you'll see a notice at the top of the statement with the option to try again.
What the statement shows
The statement lists every invoice you issued the customer between the two dates, oldest first:
- Charges: each invoice, shown as "Invoice issued" with its number.
- Payments: money received against each invoice. A fully paid invoice shows "Payment received" on the date it was paid. A part-paid one shows "Payments received to date", dated at the end of the period.
- Balance: a running balance after each line.
At the bottom are the Total charges, Total payments and Closing balance, followed by your notes.
What your customer sees
The link opens the statement in any browser. There's no login and nothing to install. Your customer sees your business name, logo and contact details, their own details, the period and the full table of charges and payments. They can download it as a PDF or copy the link.
Past statements
Every statement you generate is saved under Statement history on the customer's page, with its period and the number of invoices in it. Select one to open it and send it again.
Good to know: A statement is a snapshot of the moment you generated it. If the customer pays afterwards, or you change their email address, generate a new statement. The opening balance always starts at zero, so choose a start date early enough to cover any invoice that's still unpaid.
Next steps
- Record a payment so your statements show what's been paid.
