Add transactions and attach receipts
Record money in or out by hand, keep the receipt with it, and see how invoice payments show up in your transactions.

Most transactions arrive through a statement import. For anything that isn't on a statement, such as a cash sale or a one-off expense, add it by hand.
Add a transaction
- Select Transactions in the sidebar, then + New Transaction.
- Choose Income or Expense.
- Enter the amount and pick the currency beside it.
- Add a Description, and who you were paid by (Received from) or who you paid (Paid to).
- Set the date. The status starts as Completed. Change it to Pending if the money hasn't cleared yet.
- Fill in any of the other details you need:
- Category and Payment mode.
- Reference no., such as a transaction code or receipt number.
- Tax rate (%), Tax amount and Tax type.
- Recurring, for something that repeats, such as rent. Then choose how often.
- Exclude from P&L, for transfers between your own accounts.
- Note.
- Select Add transaction.
Travada Books suggests a category if you didn't choose one. See Categorise transactions.
Link income to an invoice
For income, use Link to invoice to pick the open invoice this money was for. You can search by invoice number or customer. Tick Mark invoice as paid when saving to close the invoice at the same time.
Attach a receipt
- Open the transaction, or start a new one.
- Under Attachments, select Click to upload receipt or document, or drag the file onto that area. You can add PDF, PNG or JPG files up to 10 MB each, and more than one per transaction.
- Select Add transaction, or Save changes if you're editing.
Before you save, you can select Extract beside a file you've just added, and Travada Books reads the receipt and fills in the amount, date, who was paid and more. Check the details before you save.
If a transaction has no tax details yet, Travada Books reads the attached receipt and fills in the tax amount, rate and type if it finds them.
Good to know: You can also drop receipt images or PDFs straight onto the Transactions page. Travada Books uploads them and matches each one to the right transaction for you. See Match receipts to transactions.
See what's attached
Transactions with a file show a paperclip in the Attachment column. Open the transaction to see each file's name and size under Attachments. To remove one, select its bin icon, then Save changes.
Attached files are also kept in your Vault. See Store files in the Vault.
Edit or delete a transaction
Select a transaction to open it, make your changes and select Save changes. You can also choose Edit from the ••• menu on its row.
To delete one, choose Delete from the ••• menu and confirm. This can't be undone. To delete several, tick them and select Delete in the bar at the bottom.
Invoice payments
When you record a payment on an invoice, Travada Books adds it to your transactions as income. It's named "Invoice" followed by the invoice number, dated the day you were paid, and put in the Sales Revenue category. The Invoice column links back to the invoice. If you delete the payment from the invoice, its transaction is removed too.
